Board Duties
President
Subject to the supervision of the Board, the President acts as the general manager of the Team and shall be generally responsible for all of its activities. Specific duties include:
• Presiding at all Board and Parent meetings
• Overseeing that adequate practice and meet facilities are available
• Overseeing that adequate coaching staff are available
• Overseeing that adequate funds are available for all Team activities
• Performing other duties as required
Vice President
The Vice President acts under the direction of the President and acts as President in the President’s absence. Other duties include:
• Attending Board meetings
• Overseeing fundraising activities, including the Fireworks Stand
• Making oneself available to coaches, swimmers, and parents to help with problems and/or concerns
• Making sure the emergency forms are available at all team meets
• Performing other duties as required
Secretary
The Secretary is generally responsible for keeping written records of team activities. Specific duties include:
- Attending Board meetings
- Writing minutes of board meetings
- Compiling meeting agendas
- Scheduling Board meeting with the members and keeping them apprised of the schedule
- Helping with any correspondence that the team might have
- Assisting other board members as needed
- Performing other duties as required
Treasurer
The Treasurer is generally responsible for the financial dealing of the team. Specific duties include:
- Attending Board meetings
- Collecting and depositing dues and fees
- Paying team bills
- Processing the payroll twice/month
- Compiling a monthly treasurer's reports
- Compiling monthly, quarterly, and annual payroll reports
- Submitting Workman's Compensation reports
- Compiling and submitting year end tax returns, W2 & W3
- Renewing the team's charitable status application
- Performing fireworks accounting, taxes, and other required paper work
- Managing team investments
- Registering coaches, the team, and, at times, swimmers
- Maintaining and distributing new employment packets
- Acting as liaison with CRC and the pool facilities' staff
- Performing other duties as required
Registrar
The Registrar is responsible for swimmer sign-ups and making sure each swimmer is properly registered. Specific duties include:
- Attending Board meetings
- Preparing the registration packet with other board members' input. The team also has an electronic database of names and addresses.
- Registering swimmers for both CRA and the SNS league
- Ensuring all forms are properly completed
- Ensuring all registration money is collected
- Filing all forms as required and submitting payments to SNS when necessary
- Maintaining a binder with copies of all swimmers’ registration materials
- Helping with all fund raisers for the team
- Ordering swimmer and team equipment
- Answering general questions related to the team
- Performing other duties as required
League Representative
The League Representative acts as liason between CRA and the Sierra Nevada Swimming (SNS) League and is a member on the SNS Board of Directors. Specific duties include:
- Attending Board meetings
- Attending League meetings as a CRA representative
- Providing copies of League meeting minutes to all CRA Board members and reporting back to the team on the activities and decisions of SNS
- Being available during swim meets in case a League issue arises
- Other duties as required
